Privacy Policy

1. Who we are

SuperSmart Moving (“SuperSmart,” “we,” “us,” “our”) operates the CRM and operations platform at supersmartmoving.com, app.supersmartmoving.com, and any associated subdomain (the “Service”).

This Privacy Policy explains what data we collect, how we use it, and the choices you have.

2. Who this Policy applies to

This Policy applies to:

  • Users of the Service - employees of moving companies that use SuperSmart
  • Visitors to our website
  • Recipients of our SMS and email communications

If you're a customer of a moving company that uses SuperSmart (for example, you got a quote through them), the moving company is the “controller” of your data - please see their privacy policy for details. We process that data on their behalf.

3. What we collect

From Users

  • Name, email address, phone number
  • Account password (stored hashed; we can't see it)
  • Job role and assigned access levels
  • Sign-in timestamps and approximate location (for security)
  • Settings and preferences you configure

From Customer Companies

  • Business name, address, contact details
  • Phone numbers used to send SMS or make calls
  • Branding (logo, colors) and email templates
  • Lead, quote, job, and payment records

Automatically

  • Browser type, device, IP address, operating system
  • Pages viewed and actions taken inside the Service
  • Cookies and similar technologies (see Section 7)

From integrations

When you connect SuperSmart to third-party services (RingCentral, Supermove, Stripe, Twilio, SendGrid), we receive data from them as needed to provide the Service - for example, inbound SMS, payment confirmations, and email delivery status.

This section is specifically called out for clarity.

How we use phone numbers

We use phone numbers for two purposes:

  • Service operations - sending and receiving SMS that your Customer Company has enabled (lead alerts, internal team notifications, customer-facing follow-ups, etc.)
  • Security - verifying identity and securing accounts

Where SMS data is stored

  • Message content is stored in your Customer Company's account on our servers (Firebase / Google Cloud, U.S.-based)
  • Delivery metadata (sender, recipient, timestamp) is also retained by our SMS provider - currently Twilio and RingCentral - for compliance and deliverability
  • No SMS data is sold or shared with third parties for marketing

How to stop receiving SMS

  • Reply STOP to any text message from us to opt out
  • Reply HELP for help, or email support@supersmartmoving.com
  • A User in your Customer Company account can also disable SMS notifications in your account settings

Carrier compliance

We comply with the U.S. carrier A2P 10DLC framework and CTIA messaging principles. Mobile carriers may not be liable for delayed or undelivered messages.

5. How we use your data

We use the data we collect to:

  • Provide, operate, and improve the Service
  • Authenticate Users and secure accounts
  • Send transactional messages (sign-in alerts, payment receipts, etc.)
  • Send the operational SMS and emails your Customer Company has enabled
  • Detect and prevent fraud and abuse
  • Respond to support requests
  • Comply with legal obligations

We do not use your data for advertising or sell it to data brokers.

6. Who we share data with

Service providers

We share data with the third parties listed below, only as needed to run the Service:

Each provider has its own privacy policy and is contractually required to handle data only on our behalf.

Customer Company access

If you're a User of a Customer Company's SuperSmart account, the owner or admin of that Customer Company can access, modify, or delete the data you produce within the Service.

Legal requests

We may disclose data when required by law, court order, or to protect SuperSmart, our users, or the public.

Business transfers

If SuperSmart is acquired, merged, or sells some or all of its assets, your data may be transferred to the new owner - subject to this Policy or one substantially similar.

7. Cookies and tracking

We use cookies and similar technologies to:

  • Keep you signed in
  • Remember your preferences
  • Measure how the Service is used

You can disable cookies in your browser, but parts of the Service may not work without them.

We don't use third-party advertising cookies.

8. Data retention

We retain your data for as long as your account is active and for a reasonable period afterward to:

  • Comply with legal obligations
  • Resolve disputes
  • Enforce agreements

Customer Company data is generally retained for the duration of the subscription plus 12 months, unless deletion is requested earlier and there's no legal reason to keep it.

You may request deletion of your User account by emailing privacy@supersmartmoving.com.

9. Data security

We use industry-standard security practices, including:

  • Encryption in transit (HTTPS / TLS)
  • Encryption at rest for sensitive fields
  • Role-based access controls
  • Regular software updates and monitoring

No system is 100% secure. If a breach occurs, we'll notify affected users and authorities as required by law.

10. Your rights

Depending on where you live, you may have rights to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Delete your data (with some legal exceptions)
  • Restrict or object to certain processing
  • Port your data to another service
  • Opt out of marketing communications at any time

To exercise any of these rights, email privacy@supersmartmoving.com. We'll respond within 30 days.

California residents

You have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what categories of data we collect and the right not to be discriminated against for exercising your rights.

We do not “sell” personal information as defined by CCPA.

EU / UK residents

If you're in the EU or UK, you have rights under GDPR, including the right to lodge a complaint with your local data protection authority. Our lawful bases for processing are: (a) contract performance, (b) legitimate interests, (c) consent (for SMS marketing), and (d) legal obligation.

11. Children's privacy

The Service is not intended for anyone under 18. We don't knowingly collect data from children. If you believe a child has provided data to us, please contact us and we'll delete it.

12. International transfers

We're based in the United States and our service providers may be located elsewhere. By using the Service, you consent to your data being processed in the U.S. and other countries that may have different data-protection laws than yours.

We use standard contractual clauses and other safeguards when transferring data internationally.

13. Changes to this Policy

We may update this Policy occasionally. We'll post the new version here with an updated “Last updated” date. For material changes, we'll notify you by email or in-app notice.
